The Workflow and Forms Initiative, driven by IT, embraced the ability to evolve the many forms that are part of every educational organization into smart, electronic forms and to automate the processes associated with those forms and workflows. Demonstrating compliance with the many federal regulatory statutes regarding student records and financial records was another anticipated benefit of implementing BPM at DATC.&amp;nbsp;
Davis Applied Technology College (formerly Davis Area Vocational Center) was created by an act of the 1978 Utah State Legislature. DATC is regionally and nationally recognized for certificate programs, developed with national partners who have designated DATC as a western US training site. These partnerships include Volvo/Mack Truck Division, Polaris Corporation, Okuma/Hartwig Corporation, Lincoln Electric Corporation and Iasis Corporation/Davis Hospital and Medical Center.&amp;nbsp;
DATC currently offers certificate programs in the Schools of Business, Construction, Health, Information Technology, Manufacturing and Service and Transportation. Employer advisory teams are used extensively to review program standards as they relate to industry demand and employment verification. The quality of DATC&amp;rsquo;s training, its affordable tuition, flexible scheduling, and job placement success have resulted in more than 7500 students being enrolled in DATC in 2014.&amp;nbsp;
Greg Scherer is the Director of IT, responsible for telecommunications, its network, all desktop equipment and developing applications to create app-specific solutions. An IT department of six supports 1200-1400 devices with multiple users per machine, as well as 20 Computer Labs in different programs. With cabinets full of paper forms, ranging from mileage reimbursement and leave requests to conflict of interest disclosures, Scherer&amp;rsquo;s group was looking to be innovative &amp;mdash; and to eliminate that cabinet.&amp;nbsp;
Starting with an RFP, DATC then short-listed three companies. Representatives from IT, Purchasing, and Finance, as well as representatives from every division, were a part of the demo and discussion process. &amp;ldquo;We wanted to be totally transparent and up front in terms of what we were trying to accomplish,&amp;rdquo; stated Scherer.&amp;nbsp;
Concluding the six month evaluation process, and with approval from the President&amp;rsquo;s Council, Scherer&amp;rsquo;s team then licensed Process Director. Within the first thirty days their first two forms and processes went live &amp;ndash; and the processes across departments are growing exponentially. In student services alone there are already 17 completed processes with five in the queue. In HR, Finance and IT the progress is equally impressive.&amp;nbsp;
&amp;ldquo;We wanted to continue to innovate and get better &amp;mdash; and that has been validated. It&amp;rsquo;s the time that we are saving and knowing where our business processes and workflow are without having to chase them down that&amp;rsquo;s invaluable. What used to take days is taking hours &amp;mdash; what used to take weeks is taking days,&amp;rdquo; Scherer observed.&amp;nbsp;
&amp;ldquo;It is always very rewarding to work with customers who have a vision &amp;mdash; and are clear as to what they want to achieve,&amp;rdquo; stated Jay O&amp;rsquo;Brien, BP Logix CEO. &amp;ldquo;DATC is an innovator and example of a customer that understands the value of automation and accountability to its constituents,&amp;rdquo; he concluded.&amp;nbsp;

Process Director Version 3.0 enhances BPM with social media integration. The version enables customers to: 1) Drive workflow behavior from social media events including a tweet or Facebook status update; 2) Respond to customers via Twitter (tweet, RT, DM, reply) and 3) Manage Facebook campaigns (likes/unlikes, comments). Automating and streamlining its increasingly-complex contract workflow process, and moving from a manual, paper-based system were the drivers for acquiring this system. &amp;#160;
The joint partnership, launched in October 2010, enables AssistMicro to sell BP Logix Process Director (called BP Director in Japan) solutions to its existing network of customers and partners. It further leverages the experience of AssistMicro in ECM to deliver business process management (BPM) solutions to Japanese companies.&amp;#160;
MIC Risk Solutions, Inc. (MRS) provides property and casualty insurance and re-insurance services, as well as broker and risk management services, to Japanese customers. A wholly-owned subsidiary of Mitsui &amp;amp; Co., MRS will leverage the BP Logix technology to automate its contract document management process.&amp;#160;
In making its selection, MIC Risk Solutions evaluated workflow products from a number of BPM vendors. The company selected BP Director because it offers three key benefits that are crucial to MRS&#39;s future success. Those requirements included the ability to:&amp;#160;
- Make workflow and data reusable
- Provide the ability to view all aspects of the workflow process at a glance
- Enable end users to lead business process improvements within the company&amp;#160;
MRS will begin automating its business processes with BP Director immediately and plans to enter its production phase in June.&amp;#160;
According to Mr. Shuichi Yoshida, General Manager, Production Division of MRS, “The nature of MRS&#39;s business requires robust process management and precise document creation. Stillwater National Bank and Trust Company (SNB) selected BP Logix Process Director to automate its loan credit and Accounting processes and automate more than 120 forms in use by employees across 28 locations. SNB turned to BPM to improve customer service, address compliance requirements and ensure a more efficient, cost-effective operation. 
A subsidiary of Southwest Bancorp Inc., SNB was founded in 1894 and is headquartered in Stillwater, Oklahoma. The Bank, with assets of $2.3 billion, specializes in commercial and personal lending, deposit, investment services, specialized cash management and other financial services. In 2002, branching outside of Oklahoma began. In Texas, SNB is branded as SNB Bank of Austin, SNB Bank of Dallas, SNB Bank of San Antonio and SNB Bank of Houston. In 2007, Southwest purchased Bank of Kansas, who now boasts eight branches in Kansas.
Streamlining the loan credit process, as well as improving Accounts Payable processes, were key requests for the IT department. Laura Briscoe, SNB’s Director of Information Services, established criteria for the product she wanted to purchase. It needed to be: 1) Browser-based, 2) Provide rule-based routing, 3) Be able to handle complex logic 4) Offer a user-friendly dashboard with search and proxy capabilities and 5) Provide integration with SQL, Active Directory and SharePoint. Needing to replace an existing product that had proven to be incapable of developing useable workflow processes and electronic forms, Briscoe initiated a search. She short-listed five companies and met with three. Within 45 days her recommendation to purchase Process Director was approved by the Bank’s Oversight Committee.
“While doing a cost-benefit analysis we found that we could do everything we needed to with Process Director -- including complex logic for forms, spawning, different rule sets and calculations on loan documents,” remarked Briscoe. As a result of streamlining the loan credit process, SNB will be saving man hours, time and money and will have a well-documented and audited process. “With Process Director, we will be doing what we do now – on steroids,” she added.

In 1979, the flagship store in Bellingham, Washington was expanded to over 40,000 square feet, creating the chain&#39;s first superstore format. In 1982, the TOP Food and Drug division was created. Haggen has historically offered its customers a number of ‘firsts’ - from the first FTD Floral Department in a U.S. grocery store in 1979 to the first U.S. grocery store offering in-store Starbucks in 1989. Based on the successful automation of other processes within Haggen, the HR department decided to replace its manual, paper-based system with an electronic system. The new system was expected to be significantly faster, less error-prone and more efficient. “Our IT group introduced us to Process Director however the decision for HR to implement Process Director was a business decision,” stated Lisa Hill, Senior HR Generalist. With legal documents, union documents and payroll information forming the basis for its onboarding process, a streamlined electronic workflow and approval process was important to Comvest and Haggen. “Haggen already had a relationship with BP Logix – and Comvest wanted to employ technology that would make us more efficient - so HR’s relationship with BP Logix was instantaneous. Beginning by developing their Hiring Workflow, HR defined a process for both new hires and rehires as well as status changes ranging from promotions and merit raises to movement from one store to another. The initial process took about 20 days and went live in February. The process is currently being rolled out throughout all of its stores. According to Hill, “We have already seen a reduction in the number of documents and the quantity of paper that goes into the onboarding packet. That means both our orientation process and first workday are becoming more efficient. In addition, because the forms appear similar to what employees have seen in paper form, familiarity has made it easier for employees to embrace the new system.”

The selection of Process Director was made by executives in both Finance and IT, making the decision to acquire the product both a business and an IT decision.

Initially, MultiPlan expected to replace its proprietary Capital Expenditure (CapEx) application with an eProcurement solution but eventually realized that what was needed was software that embraced the business processes underlying the capital and major expenditures, along with an electronic approval process, and the ability to integrate with MultiPlan’s ERP and other packaged applications.
The IT and Finance departments at MultiPlan recognized the need to automate and provide more visibility&amp;#160; into the company’s Capital Expenditure and Major Expenditure processes, as well as a need to integrate with its financial management software. Delivering on the promise of rapid deployment and cost savings, while also providing process improvements and automation, MultiPlan entered into a Proof of Concept with Process Director/ Cloud Edition.&amp;#160; Over the course of 6 months, Campbell Chau and Kaplan, along with the project team, worked collaboratively to ensure that the technology they selected would address both Finance and IT’s concerns. Based on the success of the POC, MultiPlan selected Process Director to automate and manage its CapEx and MER process.

Web-Based Software to Automate Critical Forms and Enhance Business Processes 
San Diego, CA – December 6, 2011 – BP Logix, a developer of BPM software that accelerates time-to-value, today announced that it has been selected by Memphis Light, Gas and Water (MLGW), the nation’s largest three-service municipal utility, to automate the utility’s key documents. Pivotal to this mandate was the requirement to provide an electronic forms routing solution that was browser-based, supported both internal and external users, could scale to handle thousands of documents and was compatible with the company-wide initiative to become a ‘greener’ organization. MLGW selected BP Logix Process Director to enable the company to automate documents being used by the Human Resources, Information Technology and Communications departments in Phase I, with other departments to follow in Phase II. 
Memphis Light, Gas and Water provides services to nearly 423,000 customers. Electricity is supplied by the Tennessee Valley Authority (TVA) and MLGW is TVA&#39;s largest customer. Natural gas is delivered to customers via a distribution network that measures more than 4,650 miles. And while many other utilities obtain drinking water from surface lakes or rivers, residents of Memphis enjoy water derived from a local aquifer. As validated in a recent customer survey conducted by a third party, customers of MLGW gave the utility an “A” in reliability, customer satisfaction and customer perception.
Cynthia Jones is the Supervisor of Legacy Replacement. Her strategic roadmap for the Utility involves embracing web technologies and adding new solutions that both run on existing hardware and integrate well with the existing software.
Having recently upgraded its intranet, MLGW’s IT group wanted to automate the workflows and forms used to manage its business. These forms ranged from Employee Movement and Injury Investigations to IT Security and Telecom Requests. “Most of the forms we use require multiple signatures so the ability to authenticate users and provide electronic signatures is critical,” observed Jones. Equally important was the ability to delegate approval, encrypt data and send email notifications to approvers. Pivotal to the selection of Process Director was the requirement that the software be browser-based, support both internal and external users and facilitate the company-wide initiative to become a ‘greener’ organization.
After evaluating 12 products, Memphis Light, Gas and Water short-listed three, evaluating them against criteria established by the Intranet Team. The cost justification for the product was done by the Environmental Engineering department. BP Logix Process Director was selected based on its functionality, ease of use, the company’s financials and its years of experience with the technology. The product’s browser-based graphical workflow builder, combined with dynamic workflow routing, were important criteria for MLGW. “We will be converting 25 forms in Phase I of our deployment.     <description>San Diego, CA – April 4, 2011 – BP Logix, developer of BPM software that accelerates time-to-value, today announced that the Chancellor’s Office of the California Community Colleges (CCC), the largest higher education system in the nation, has selected Process Director™ to improve its ability to award and distribute millions of dollars in grants for nursing and allied health programs across the state of California.&amp;#160;
The CCC enrolls more than 2.9 million students or 70% of the public undergraduate student population in California and 25% of all students enrolled in community colleges nationwide. The system is comprised of 72 districts and 112 colleges. The Chancellor’s Office is responsible for allocating the funding it receives from the state to both the colleges and districts.&amp;#160;
Since 2005, the Nursing and Allied Health Unit has distributed tens of millions of dollars in grant money. Awarded through both state and federal grants, the goal of the grants is to expand the number of students accepted into programs in California. Approximately twenty million dollars in grant monies for nursing will be awarded to CCC in 2011. In addition, there will be other grants available to support allied health (respiratory technology, radiation technology, dental hygiene, etc.)
Tim Calhoon, Director of the CCC Technology Center, was tasked with researching and evaluating an automated solution that would address the grant submission workflow and review process, as well as providing a system that could be used across colleges. “The process for awarding grants was an onerous one. We needed a system that would embrace workflow, ensure a standardized system and also look at the underlying processes,” stated Calhoon. &amp;#160;
From the perspective of the Nursing and Allied Health team, eliminating paper and improving the accuracy of the information collected for each grant submission was critical. The process previously used involved submitting paper applications and using email to communicate the status of applications. Handling all information electronically, eliminating paper and improving process flow was crucial. “Eliminating paper and improving the accuracy of information collected for each grant submission was essential,” Calhoon observed.&amp;#160;
Based on those criteria Calhoon and his team selected BP Logix Process Director and its Process Timeline™ technology which enables organizations to predict how later stages in a process are affected by changes introduced in earlier stages. As a result business users have more insight into their processes, and are provided with the earliest possible notification of potential delays.

John Vilim, Chief Technology Officer with Waterton, is responsible for all Information Technology decisions for the company – from applications and systems support to voice and data communication. Joining the company three years ago, and with a background that included experience with workflow products and Six Sigma Initiatives, Vilim recognized a need to better define the company’s business processes. 

    His first project was to develop a Policy and Procedures system
    His second project involved Due Diligence Walk-Throughs (on site inspections of properties the company was considering to acquire) 
    The company’s new hire requisition process needed to be streamlined and updated 
    

While the Policy and Procedure process needed automation, the more cumbersome process was the Due Diligence, as it relied on paper-based forms. For a 300 unit property, Waterton dealt with 300 distinct paper forms making that process unwieldy and prone to errors.
More daunting, however, was Waterton’s Property Takeover Process. Its characteristics included:

Vilim needed a BPM tool that would provide the technology and business value that Waterton required. The IT considerations, however, were secondary to its business considerations. “We had to solve a business problem, use reasonably standard technology, be cost-effective and find tools that fit into our technology roadmap,” Vilim remarked. Waterton wanted a browser-based platform, an effective dashboard and the flexibility to enhance capabilities with web services, access any SQL data it needed and to automate and manage the many forms that drive the business. 

“We recognized early on that Workflow Director would help us automate most of our business processes. Then we tried laying out our Property Takeover process in Microsoft Project, hoping we could develop workflows to automate that process. While we could define dependencies we still could not notify the people involved in the tasks. When we heard about Process Director it just clicked: if you have a project you need to automate and it doesn’t fit into a workflow, that’s a project for Process Director,” Vilim added.
According to David Kelly, principal with Upside Research, a solid BPM solution includes the following:

    A business rules engine
    Integration with existing systems
    Reporting and monitoring tools, and for activity-based processes, 
    Predictive Analysis (being alerted to a prospective problem before it becomes a problem.)
